Community Spotlight Participant Guide

Community Spotlight is an opportunity to meet people, discuss your creative process, and share something you enjoy.

Community First. Creativity Second. Commerce Third.

Sales may be permitted as part of approved participation, but the program is not intended to turn EDF meets into vendor markets. Attendees are welcome to browse, ask questions, and chat without buying anything.

Contact @ReyBuck on Telegram with:

• A short introduction.

• A description of the work or project you would like to share.

• Any space, equipment, or accessibility needs.

• Whether you would like to offer items for sale.

Participation requires approval and depends on available space, event needs, and the program’s guidelines. Confirm your arrangements before bringing a display or advertising your participation.

There is no fixed setup time for every Spotlight. Follow the arrangements confirmed for your event and check the latest announcement before traveling.

On arrival, check with the organizer about where to set up. If you need extra setup time, expect to arrive late, or can no longer attend, let Rey know.

Weather, venue conditions, or other event needs may affect the arrangements.

What to Bring

Unless the organizer confirms otherwise, provide your own:

• Table and chair.

• Display materials and signage.

• Equipment and supplies.

• Payment methods, if sales are approved.

Ask ahead about anything your setup depends on, such as electricity, shelter, or additional space. Do not assume these will be available.

Keep walkways, entrances, seating access, and emergency routes clear. Organizers may ask you to adjust your display for safety, accessibility, or venue requirements.

Displays, merchandise, signage, and material shared with attendees must be appropriate for an all-ages, SFW event.

Do not display or distribute explicit sexual material, adult advertisements, or links directing attendees to adult content.

AI-generated creative works may not be submitted, displayed, promoted, sold, or used as Community Spotlight material. See the Community Rules for the full policy and its utility-use exceptions.

Respect creators’ rights. Obtain the permissions needed to display, reproduce, edit, or sell someone else’s work, and do not misrepresent authorship.

If you are unsure whether an item fits the program, ask Rey before the event.

Share your process, answer questions, and give people room to explore at their own pace.

Please avoid:

• Pressuring someone to buy or commission work.

• Repeatedly approaching someone who has declined.

• Interrupting conversations to make a sale.

• Blocking access or drawing people away from other activities through persistent solicitation.

Respect personal boundaries. Ask before touching someone, their fursuit, or their belongings.

Sales must be part of your approved participation and follow the event’s rules.

Transactions are directly between the participant and the purchaser. Participants are responsible for pricing, payment processing, delivery arrangements, refunds, customer service, records, and applicable taxes or business requirements.

Make prices and any important terms clear before accepting payment. EDF approval does not guarantee sales, endorse a product, or make EDF a party to a transaction.

Do not collect money or make commitments on EDF’s behalf without specific authorization.

Follow the venue’s rules, reasonable organizer directions, and applicable requirements for your activity.

Do not assume that approval to participate establishes permission for every type of sale, display, or equipment setup. Ask the organizer about event arrangements and confirm any permits or licenses applicable to your own activities.

Leave your space clean and remove your supplies, packaging, and waste when you finish.

With appropriate permission, EDF may feature participants in event announcements, social posts, website profiles, or the Community Spotlight archive.

Participation does not automatically authorize photography or publication of your information, artwork, or image. Confirm what may be shared and how it may be used before publication.

You may decline promotional participation or request corrections. If a concern arises after publication, contact Rey so it can be reviewed.

For identifiable images of minors, appropriate parent or guardian permission is required, and the young person’s refusal must be respected.

Ask before taking close-up photos or recordings of attendees. Participation in a group photo is optional.

Keep track of your merchandise, equipment, money, and personal belongings. Arrange help if you need someone to watch your display; do not assume organizers can supervise it.

Plan for the weather and your own hydration, transportation, and other needs. Contact the organizer ahead of time with accessibility questions or setup concerns.

Report hazards or problems promptly. For an emergency, seek appropriate help immediately.

Participants must follow the EDF Community Rules and reasonable event instructions.

Organizers may ask you to adjust a display, stop an activity, pause sales, or end participation when needed to address a rule violation, safety concern, or venue requirement. Responses should be proportionate to the issue.
