Community Spotlight Reference Guide

Why does this page exist?

Most Community Spotlight participants will only ever need the Community Spotlight Quick Guide provided by EDF.

This Reference Guide exists to provide additional details, clarify expectations, and serve as a shared resource should questions arise before, during, or after an event.

Our goal is not to create barriers, but to create clarity.

We believe that clear expectations create positive experiences and help foster a welcoming, respectful, and community-focused environment for everyone.

๐ŸŽจ The Purpose of Community Spotlight

The Community Spotlight exists to celebrate members of our local community by highlighting their creativity, passion, and contributions.

While attendees are welcome to purchase artwork or merchandise, the program is not intended to function as a traditional vendor market.

Our priorities are:

  1. Community

  2. Creativity

  3. Connection

We encourage participants to focus on sharing their work, meeting new people, and building lasting relationships within the community.

๐Ÿ“… Event Schedule

Unless otherwise announced:

  • Meet Begins: 2:00 PM

  • Community Spotlight Setup: Approximately 3:15 PM

  • Group Photo: 3:30 PM

  • Community Spotlight Opens: Immediately following the group photo

  • Meet Ends: 4:00 PM

Event schedules may change due to weather, attendance, or organizer discretion.

๐Ÿ“ฆ Displays

Community Spotlight participants are responsible for providing their own:

  • Table

  • Chair

  • Display materials

  • Signage

  • Payment methods

  • Other necessary equipment

Display areas should remain within the space designated by EDF organizers and should not interfere with pedestrian traffic or the normal operation of the event.

EDF reserves the right to request adjustments to display placement when necessary for safety or accessibility.

๐Ÿ›๏ธ Merchandise

All displayed or distributed items should be appropriate for a public, family-friendly environment.

Items that are explicit, pornographic, or otherwise inappropriate for all ages may not be displayed or sold.

If organizers believe an item is inconsistent with the spirit of the event, participants may be asked to remove that item from display.

๐Ÿค Interacting with Attendees

Community Spotlight participants are encouraged to:

  • Share their creative journey

  • Answer questions

  • Meet new people

  • Build friendships within the community

Please avoid:

  • Aggressive sales tactics

  • Interrupting conversations

  • Pressuring attendees to make purchases

  • Creating an environment where members feel obligated to buy

The Community Spotlight is intended to complement the meetโ€”not become its primary focus.

With participant permission, EDF may promote Community Spotlight participants through:

  • Event announcements

  • Social media

  • Website features

  • Community Spotlight archives

  • Printed promotional materials

Participants retain the right to request edits or decline promotional use of their information before publication.

๐ŸŒณ Park Rules & Local Regulations

Community Spotlight participants are responsible for complying with:

  • Park rules

  • City ordinances

  • State and federal laws

  • Permit requirements

  • Licensing requirements, if applicable

Participation in the Community Spotlight does not imply that EDF has verified whether permits or licenses are required for a participant's activities.

Participants are solely responsible for determining and complying with any applicable legal requirements.

๐Ÿ’ฐ Transactions & Taxes

All transactions occur directly between the participant and the purchaser.

Participants are solely responsible for:

  • Pricing

  • Payment processing

  • Sales records

  • Taxes

  • Refunds

  • Customer service

EDF does not act as an intermediary or representative in any transaction.

Participants are responsible for their own:

  • Merchandise

  • Equipment

  • Displays

  • Money

  • Personal belongings

EDF, its organizers, volunteers, and administrators are not responsible for loss, theft, damage, or disputes arising from participation in the Community Spotlight.

๐Ÿ’œ Community Standards

The Community Spotlight exists to strengthen our community.

Participants are expected to contribute to an environment that is welcoming, respectful, inclusive, and enjoyable for attendees of all backgrounds.

EDF reserves the right to discontinue a Community Spotlight participation if actions are inconsistent with these values or negatively impact the experience of others.
